PPM Operations Lead


Role Overview:

To provide project management support to the Head of Portfolio & Project Management (PPM), and by extension to all projects under R&D PM.


Principal Accountabilities:

1.         Provide project management support for Head of PPM 

  • Support the Global Project Management function by

    • Producing and maintaining project schedules, budgets, GANTT charts and 5-year key milestone charts for various Research, Development and Post-marketing projects

    • Maintaining SharePoint for PPM, including supporting CPT and PPT and organizing all PM documentation and tools, including but not limited to agendas, minutes, reports, presentations, action logs, decision logs, risk logs

  • Roll up timelines, deliverable and budget information from several different Core Project (Development) Teams (CPT) or Post-Marketing Project Teams (PPT); may aid in monitoring individual projects as well.

  • Organize Portfolio Review Committee (PRC) and Interim Review Committee (IRC) meetings including agenda, distribution of Reports, and organization of presentations

  • Assist in making presentation slides for PRC, IRC or other meetings and courses

    2.         Maintain Global R&D Disclosure System

  • Operationally manage Global R&D Disclosure System

  • Provide guidance to new employees on how to use the disclosure system

  • Track disclosures for timely review and final approval

  • Maintain repository of approved documents

    3.         Maintain Project Management Knowledge Centre

  • Help develop and maintain teaching materials for “Project Management & You” courses

  • Logistical organization of on-site or off-site courses and meetings, including invitations, catering, room bookings, course materials, on-site organization

  • Maintain Project Management guides, templates and toolkits and update as necessary




  • Highly organized, proactive, responsible and responsive; positive can-do attitude

  • Ability to juggle several different tasks within the same day

  • Works well under time pressure

  • Strong interpersonal skills with ability to help graciously and train others on systems

  • Good verbal and written communication skills (English)

  • Strong computer skills including Word, Excel and PowerPoint essential

  • Familiarity with Project Management software such a GANTT charts and other tracking tools strongly desired

  • Financial system experience desirable, including tracking budgets

  • Bachelor’s degree in life-sciences, medical-related sciences science, biotechnology or allied health

  • Project Management certification highly desirable.

  • Solid experience  in project management, preferably in the pharmaceutical industry
